Accommodation

 

There is some accommodation available in dormitory form in the Newcastle Basketball building (Check In).

 

There are 60 beds / 6 rooms with 10 beds in each.

Important information on rules for members attending the 2011 Event obtained from the AGM Events Planning and Implementation Manual . This Manual has been approved by the National Committee.

Tent City

Power Supply:
Under no circumstances is 240 volt power to be provided to Tent City due to considerations related to OH&S insurance and Duty of Care, and the potential hazards involved. People who require power should provide their own tent at a powered site or alternative accommodation off site. Only 12 volt lighting will be supplied to this site.

Naked Flame Restrictions:
Under no circumstances is any equipment or appliance that utilises a naked flame is to be used in Tent City due to considerations related to OH&S, Duty of Care, insurance and the potential hazards involved. 

This does not apply to the main camping areas, only to the hired tent area.


Members’ Pets

Some members may request to have their companion pets accompany them to the Event. The companion pets are predominantly dogs. This can be a contentious issue with other members particularly if the pet causes a danger or disturbance in the Domestic Precinct of the venue/s. Generally the Club has a “no pet on-site policy” but this also has compassionate considerations on a case by case basis for member’s companion pets, on medical grounds for example.

 

The National Administration Office staff will manage this matter with registrations and will liaise with the Host Committee initially and then with the Camping and Event Reception Coordinators’ directly by providing them with a list of members who may bring their pets. All other animals will be refused entry. All animals which represent a danger or potential hazard to other registrants or themselves are not permitted in the event venue at any time.

 

The pet owner must agree in writing to abide by the following policy whilst attending the event. Acceptance of any pet is at the discretion of the Event Host Committee and the National Administration Office Staff. All pets must be kept on a hand leash at all times whilst in the Event Venue. Pets must be exercised outside the Event Venue. The Camping site and surrounds must be kept clean of droppings by the pet owner and the site must be cleaned up prior to departure from the site. Dispose of all droppings in the appropriate waste disposal. Pets are not to be left unattended at any time. Pets are not permitted inside the amenities facilities, Commercial Precinct, Community Precinct or Event Reception at any time. No continuous or persistent barking by the pet. Pet owners agree and accept to take full responsibility for any personal injury or damage caused by or to their pet whilst within the Event Venue/s and agrees to pay for any claims of compensation in relation to the pet’s activities. Should a member be discovered to contravene or to not be observing the spirit of this policy they are to be asked to comply or leave the venue without claim for any refund/s? This policy is to be conveyed to every pet owner when they are registering for the event and signage containing this policy is to be predominantly displayed at Event Reception and at the Event Venue/s.
